As an Executive Assistant at Vinmar International, you will play a pivotal role in ensuring smooth office operations and providing support to our leadership team. Your responsibilities will include a wide range of administrative tasks, from managing schedules to assisting with travel arrangements. Key Responsibilities:

  • Provide administrative support to senior management, including calendar management, meeting scheduling, and correspondence handling.
  • Assist with the preparation and processing of expense reports and financial documentation.
  • Maintain filing systems and documentation, ensuring all information is organized and easily accessible.
  • Act as the point of contact for incoming communications, handling phone calls and inquiries professionally.
  • Coordinate and arrange travel itineraries, accommodations, and logistics for staff and visitors.
  • Manage office supplies and inventory, ensuring that the office is well-stocked and organized.
  • Support internal and external meetings, preparing materials, and ensuring meeting rooms are ready.
  • Contribute to team projects and initiatives as needed.

Requirements

  • Proven experience as an administrative assistant or similar role, preferably in a corporate environment.
  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to prioritize tasks and manage time effectively.
  • Demonstrated ability to handle confidential information with integrity.
  • Experience with travel arrangements and expense reporting is a plus.
  • Strong interpersonal skills and a collaborative team spirit.
