Job Summary

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to senior leadership. In this role, you will manage schedules, coordinate meetings, handle communication, prepare reports, and assist with day-to-day operations. The ideal candidate is resourceful, professional, and able to manage competing priorities with discretion and efficiency.

Key Responsibilities
  • Manage executive calendars, schedule appointments, and coordinate meetings

  • Draft, review, and organize documents, reports, and presentations

  • Handle email communication, respond on behalf of executives when appropriate

  • Prepare meeting agendas, take minutes, and track action items

  • Conduct research and compile data for decision-making

  • Coordinate travel arrangements, accommodations, and itineraries

  • Assist with confidential matters and maintain strict privacy standards

  • Support recruitment, onboarding, and internal administrative activities as required

  • Manage task lists and ensure deadlines are met

  • Communicate professionally with internal teams, clients, and external partners

  • Oversee special projects and provide general administrative support

  • Identify areas to improve efficiency and streamline processes

Required Skills
  • Strong organizational and time-management abilities

  • Excellent written and verbal communication skills

  • High attention to detail and accuracy

  • Proficiency with Microsoft Office Suite or Google Workspace (Docs, Sheets, Slides)

  • Ability to prioritize tasks and manage multiple deadlines

  • Professional judgment and confidentiality

  • Strong problem-solving and critical-thinking abilities

  • Ability to work independently with minimal supervision

  • Comfortable using remote work tools

  • Ability to adapt quickly to changing priorities

Preferred Qualifications
  • Previous experience as an Executive Assistant, Administrative Assistant, or similar role

  • Experience supporting senior executives or leadership teams

  • Background in operations, HR, or business administration

  • Bachelor’s degree preferred but not required
